Configuration

Define shift types

Settings → HR → Shifts → add standard shifts (e.g. “Morning 6-14”, “Afternoon 14-22”, “Night 22-6”).

Define positions

For each shift, specify how many employees must be present (minimum coverage).

Add required skills (optional)

Some shifts require specific skills (e.g. paediatric nurse). Arya suggests only qualified employees.

Scheduling

HR Manager drags employees onto shifts in the weekly planner. Arya flags conflicts (overlaps, missed rest between shifts).

Publishing and notifications

When you publish the schedule, employees receive notifications:
  • Via mobile app push notification
  • Email with weekly calendar
  • Sync to personal Google Calendar

Shift swaps

Employees can request swaps with a colleague:

Employee A requests swap

From app, click Swap shift → select shift and target colleague.

Employee B confirms

Push notification to colleague. If accepted, goes to approval queue.

HR Manager approves

Visible in dashboard → approve or reject with reason.

Schedule updated

Arya realigns, notifies both, updates all calendars.

Regulatory compliance

Arya checks regulatory compliance: max 13 hours daily work, minimum 11 consecutive rest hours, 24h weekly rest, night work max 8h in 24h. Automatic alerts on violations.

Frequently asked questions

Yes. Approved leaves reduce employee availability. The planner highlights them.
